Leave and sick days

Leave and sick days, next to the hours

The hours a team writes only make sense next to the hours it was expected to work. Ergosy keeps leave, sick days and public holidays in the same place as the timer, so a week off never reads as a week behind.

What leave tracking gives you

Request, approve, done

A member asks, a manager decides, both get a message. Or switch approval off and let a request count straight away. Requests that nobody looks at can be approved automatically a set number of days ahead.

A balance you can audit

Hours per year accrue monthly or all at once. Every change is a ledger line with the balance before and after, linked to the leave it came from and the person who decided. Carry-over at year end, capped or not, is your setting.

Sick days, without the paperwork

Report sick in one click, report recovered when it is over. Ergosy records both moments, counts the days against the work schedule, and shows per person how often it happened this year.

Public holidays

One calendar per country, several per person

Fill a calendar with the national holidays of the Netherlands, Belgium, Germany or Ukraine in one click, add your own days, and give each member the calendars that apply to them. A colleague in Antwerp keeps Belgian holidays, the office closure between Christmas and New Year applies to everyone.

  • Holidays and leave come off the expected hours, so nobody gets a reminder on a day off
  • A day of leave costs what that person works on that weekday: a half day is a half day
  • Register a day off for a whole team at once

Keep the team informed

Who is off next week, in your chat

Send leave requests, approvals and sick reports to a Google Chat space as they happen, and a fixed overview on the day and time you choose: who is off next week, who is out today, the hours of last week, the requests still waiting.

  • One webhook per space, pick exactly which events go there
  • Each channel in its own language
  • Quiet when there is nothing to say

Switch it on when you are ready

Leave tracking is off until you turn it on in the organisation settings. Start by giving each member their hours per year and an opening balance, register the leave that is already planned, and from the next month Ergosy accrues on its own. Sick days can be logged from day one.

Questions

Frequently asked

Does leave have to be approved?
That is your choice per organisation. Off, a request counts straight away. On, a manager approves it, and you can let Ergosy approve it automatically when nobody has decided a set number of days before it starts.
How is the balance kept?
As a ledger. Every change is a line with the balance before and after: the opening balance, monthly or yearly accrual, approved leave, a cancellation, a correction with its reason. Nothing is ever overwritten.
What about part-timers and public holidays?
A day of leave costs the hours that person works on that weekday, so a half day is a half day. Public holidays come from a calendar per country or region, and a member can have several, such as a country plus office closures.
Do sick days touch the leave balance?
No. Sick days are recorded with the moment someone reported sick and recovered, count towards absence figures, and leave the balance alone.
